No matter what the topic, a PowerPoint Presentation can satisfy your needs when communicating to an audience. Here are some steps to get you started. Steps 1. Start with a template (background) on which your text, pictures, graphs or videos will be shown. (FILE » NEW » FROM TEMPLATE) 2. Choose the format of your slide, for instance, If you want to have a single slide with text on the right and a picture on the left. Choose the text or content layout. (INSERT » NEW SLIDE) 3. If you want to type text, choose a "slide layout" with a text box as shown in the sample template picture. Same process for a picture, movie or sound file. 4. To insert anything (text, charts, whatever), simply click on the designated box to activate it and start inserting away. 5. To play the presentation go to: VIEW » SLIDE SHOW or press "F5". Tips • If you do not have PowerPoint, you can download the Open Office Suite and save files in PowerPoint format for free. • If you are proficient in Word, then you might notice that PowerPoint follows a lot of the same rules, such as highlighting and deleting slides like a Word paragraph. • Just about any type of file you can think of can be inserted into a presentation, even Macros to make PowerPoint presentations interactive. But, I'm allergic to most programing. • Instead of saving the presentation with the extension \*.ppt, go to FILE » SAVE AS and save it as \*.pps (PowerPoint Show). This allows you to save the file on your desktop, so when you click on it, the presentation starts automatically. No opening up PowerPoint program first! • If you can't get the drift of it after making your second presentation (nothing fancy), it is good to get a guide book from your local library or have someone show you how to make a simple presentation. ## Warnings • Remember the more objects embedded in a PowerPoint, the larger the file. So if your planning on saving it on a disk, you have to keep the file small unless saving the file on a thumb drive (jump drive) or burning it on CD. • Don't use too many special effects as it can get distracting and annoying. ## How to Speak Before Hundreds of Co Workers With Confidence You "own" the power to shine brightly with confidence as you address co -workers and upper management via a speech, presentation,etc. Steps 1. Your genesis is to "say yes" when approached to participate in a special event or project. 2. Make sure that you are clear about the date plus what has been requested of you (ask many questions in the beginning)so that you can prepare. 3. Always be on the look out for update communications as you approach the date. It does not hurt to send an email or make a phone call a week or two before the date just to make sure that plans have not changed. 4. PREPARE your insides. Realize that "your part" is vital, and will be well recieved. See yourself at the event, and hear yourself speaking. See the audience respond. Know that numbers and rank of personel have no meaning when you come before them with purpose and confidence! 5. It helps when most of your text is memorized, but make sure that you have a clear and easy to navigate script in you hands on the day of the event. 6. Show time! I trust that you got a good nights sleep. Dress according to the event; well groomed (personal hyggiene) and conservative dress is always stylish and in order. Your personal presentation is your credibility and lasting impression! Be on time and mingle with people if there is opportunity, this will help with your nerves and cause you to identify with the audience in a warm way. 7. Step to the podium with confidence -this is your moment! ## Tips • Double space your script because you may want to make some on the spot revisions. • Be aware of where you are on the program so that you can take a sip of water to moisten your mouth just before you are on. • Know that you "own" your confidence, and do not give it away to changes in the program, those in the audience, other speakers or presenters. • Prepare, prepare,prepare for this moment! • Decide to have fun and let this contagious attitude break through. ## Warnings • Do know that before you return to your seat, a thunderous round of applause will be directed towards you. • CEO's and VP's alike will make it a point to speak to you before the event is over. • Do know that many of those in the audience will forever remember the poise, confidence and contribution that you made upon their day which turned out to be your day!
